Adding a new member

Becoming a super hero is a fairly straight forward process:

The NDA contact form should always be complete, no matter what, because this is the information that displays on the website.

Main e-mail is always the info@ or equivalent, as this e-mail is display on FDI website’s member map.

Member Comms e-mail is to be assigned for a “shared e-mail” belonging to someone else in the database, which will be the one used to communicate and the one that will appear in extractions of Presidents, Members, etc. in the future

  1. Then the option “Bulk Mailings?” should be selected – this option ensures that all newsletter and FDI Member communications are sent to this address

  2. “Primary” should be selected only if the person also wants to receive direct mail (one-to-one communications) to the other person’s e-mail address too – for example, if the president wants all his/her e-mails to be screened by a secretary

  3. The key point regarding this is that in the future, if the President for example changes, that this e-mail is removed from their contact card in CiviCRM to ensure they don’t get any communications they aren’t privy to after abandoning their post

  4. Here is an example of my contact card, where I have a work e-mail (primary), a personal e-mail (not currently used in system, just for info), and I have a membership communications e-mail (bulk e-mails, so all of our newsletters and e-mails to Members and Committees). The membership communications e-mail belongs to FDI, info@.., so this is an example of what the Member/President/NLO/etc. situation would look like:

Make sure that the NDA always has the following

  1. Main e-mail

  2. Website

  3. Social media (falls under website)

  4. At least one primary address (used for mapping on the Member map)

  5. Phone number

  6. Organization category (this is already done, but more for future members)

  7. Number of members

  8. Boiler plate (summary) of the organization under “Description/boiler plate” – will be used as an introduction/description on the member page and for social media page sharing

  9. Ensure all appropriate “relationships” are up-to-date – used for communications with members, but also for listing on website member page

You can also add a tag indicating which FDI Regional Organization the NDA belongs to.

Activating a membership

After an organization contact entry has been created, you can now activate that organization's membership within the system. Activating there membership will

  1. add the NDA to the FDI Member map on the website

  2. include the organization, president and primary contact in the CiviCRM mailing lists

Cancelling a membership

To cancel a membership, head over to the contact entry for the NDA in question.

  1. Click 'EDIT' on the Active Membership entry.

  2. Add an 'End Date' to the membership.

  3. Select 'Override Permanently' from the Status Override drop-down menu.
